You can stop guessing about money and start running your practice like the business it is.
The Practice Profit Planner is the financial workbook I built to run my own therapy practice. It tells you what you can safely pay yourself, which services actually make money, when your debt will be gone, and whether you're on track for the big goals, in about 10 minutes a week.

You got your EIN. Nobody handed you the handbook.
You didn't go to grad school to read profit and loss statements. You went to help families. But somewhere between your first client and a full caseload, you became a business owner, and the money side became something you figure out as you go. Usually after it's already gone wrong.
Maybe you've been here:
- It's 2 a.m. and you just realized a big payment is due this week, and there isn't enough in the bank to cover it.
- You set your clinicians' pay, then found out you'd left half your real costs out of the math.
- You hired help to take something off your plate, and months later realized they cost more than the practice was making.
- You've paid on the credit card for a year, and the balance has barely moved because of the interest.
- You're busier than ever. So why isn't there more money?
- You have no idea how much you can safely pay yourself this month.
This isn't a you problem. It's a tools problem. Bookkeeping software tells you what already happened. Your EHR tells you who showed up. Your accountant is great, but can't sit with you for hours explaining it all. Nothing tells you what's coming, or what to do next.
You shouldn't need an accounting degree to run your clinic.
Every mistake I didn't know I was making, until after I made it.
I'm Christine Miroddi Yoder, MA, SLP, founder of Foodology Feeding Therapy. When I got my EIN, there was no handbook. For years I struggled, and truthfully, I had no clue what I was doing until it was almost too late.
I lay awake at night because a big payment was due that week and the cash in the bank wasn't enough to cover it. I paid my clinicians more than the practice could afford, because I didn't realize how many costs I was leaving out of my operating expenses. I hired someone to help with billing, and because the payments were staggered, it took me months and months to see that the help was costing me more than I was making in profit. And I had no idea how high my credit card APR was, or how much I was paying in interest every single month.
My accountant was lovely, but couldn't sit and explain things to me for hours. So I paid financial planners and accountants, and I read every book I could find, because quitting wasn't an option.
I learned a lot. The Practice Profit Planner is the culmination of all of it: every problem I ran into as a small private practice owner, with a tab built to catch it before it catches you. Please take these lessons, and don't make the same mistakes I did.
What I learned the hard way, built in
"A big payment was due this week, and the bank couldn't cover it."
Now: the 13-Week Cash Forecast flags a tight week months ahead, and Big Payments Ahead tells you what to set aside so taxes and yearly bills are already paid for.
"I overpaid my clinicians because I left real costs out."
Now: Service Profit and True Cost & Pricing count every cost, including a fair share of rent, software and admin, before you set a pay rate or a fee.
"My billing help cost more than I made, and I didn't see it for months."
Now: the Monthly P&L and Spending Breakdown put every payment in the month it happened, so a cost that outgrows your profit shows up right away.
"I didn't realize how much the card's APR was costing me."
Now: Debt Payoff shows the interest you've paid, the interest still ahead, your payoff date, and which balance to pay off first.

Know Your Numbers: an intro to small business finances
The plain-English guide I wish I'd had. What a profit & loss and a balance sheet really tell you, why a profitable practice can still run short on cash, and why your practice needs more than one bank account (the Profit First method), plus my favorite book recommendation to go deeper.
Every question that keeps you up at night, answered in one place
Know exactly where you stand
- Dashboard: twelve key numbers and month-by-month charts: revenue, profit margin, owner pay, cash, debt, utilization.
- Monthly profit & loss that builds itself from your logs, and shows what's really left after you pay yourself, taxes and debt.
- Spending Breakdown: your biggest costs ranked, with charts of where every dollar went.
- Balance Sheet: what the practice owns vs. owes, and how many months of expenses your cash covers.
Pay yourself with confidence
- Pay Yourself: a safe owner-pay number based on your last three months, plus how many sessions or new clients it takes to reach your goal.
- Money Allocation: give every deposit a job: profit, your pay, taxes, payroll, overhead and debt.
Price, staff and grow smarter
- Service Profit: which services and which clinicians actually make money once every cost is counted.
- True Cost & Pricing: what a W-2 clinician really costs, the minimum fee you should charge, and whether you can afford a salaried hire.
- Capacity: how full your clinicians' schedules and your rooms really are, before you hire or lease more space.
- Marketing ROI: which channels bring paying clients and what each new client costs you.
Get out of debt and plan the big moves
- Debt Payoff: balances that update as you pay, a payoff date for every card and loan, and which one to tackle first.
- Savings Goals: price out a building, a second location or an emergency fund line by line, then see what to save each month and whether you're on track.
Stay on top of it, week to week
- Weekly Check-In: a 10-minute ritual that shows what came in and went out, and checks your numbers against your bank and card apps.
- Bills Calendar: every bill, debt payment and subscription renewal on its due date, plus a rolling list of the next 30 days.
- 13-Week Cash Forecast: every bill, debt payment and expected paycheck laid out week by week for the next 3 months, so you see a tight week coming long before it arrives.
- Subscriptions: every tool you pay for, grouped by category, with overlapping tools flagged so you can cut them.
- Owner Check-In: your hours, your effective hourly pay, and whether you could take a real vacation. Because a practice that runs you isn't a success.
Never get blindsided by a big bill again
- Big Payments Ahead: every estimated tax payment, yearly renewal, license fee and one-time purchase for the next 12 months, pulled in automatically from your bills and subscriptions.
- One number to save: exactly how much to set aside this month so each big payment is already covered when it arrives.
- A "Ready?" check on every item, and a warning months ahead if your savings won't catch up in time.
Set it up once. Ten minutes a week after that.
1. Gather
The guide gives you a simple checklist: your January 1 balances, your fees, what you pay your clinicians, your regular bills.
2. Set up
Follow the guide tab by tab. You type your practice's details once, and every other tab reads from them. Stop and come back anytime.
3. Check in
Log what came in and went out, glance at your balances and what's due next. The planner does the rest.
Every January, save a fresh copy for the new year. The guide walks you through carrying your balances forward, so last year stays on record and the new year starts clean.

Frequently asked questions
Do I need to be good with spreadsheets?
No. You only type in the orange cells, and the dropdowns do most of the work. If you can fill in a form, you can use the planner. The guide walks you through every step.
Does it work in Google Sheets, Excel and on a Mac?
Yes. It works in Google Sheets and in Excel 2016 or newer on Mac or PC. It also opens in Apple Numbers, but Sheets or Excel gives the smoothest experience.
I'm a solo clinician. Is this overkill?
Not at all. Skip the tabs you don't need yet, like rooms or clinician capacity. Pay Yourself, Debt Payoff, the Weekly Check-In and the Bills Calendar are valuable from day one.
How many clinicians can it handle?
Up to 10 clinicians, 4 treatment rooms and 15 services, with room for 600 deposits and 1,000 payments a year.
I take some insurance. Will it work?
Yes, for what you collect. Log deposits as they arrive from any source. It doesn't track claims, payer mix or reimbursement timing.
Does it replace my bookkeeper or CPA?
No. It's a decision-making tool, not tax software. It makes those conversations faster, because you'll walk in knowing your numbers.
How much time does it take?
About 30 minutes to gather, 60 to 90 minutes to set up, then about 10 minutes a week.
Can I use it next year?
Yes. Each January you save a fresh copy for the new year, and the guide shows you how to carry your balances forward.
Is my client information safe?
The planner never asks for client names or health information. Use initials or invoice numbers. Your file lives in your own Google Drive or computer.
Do I get updates?
Yes. Every buyer gets free updates.
Can I share it with a friend or colleague?
I know it's tempting! The planner is licensed for one individual, so each clinician needs their own copy. Please don't share, resell or redistribute it.
Will the price go up?
Yes. $197 is the founding price for early buyers; it's going up to $297. If you buy now, you keep every future update for free.
Can I get a refund?
Because the Practice Profit Planner is an instant digital download, all sales are final.
You built a practice that helps families. You can build one that takes care of you, too.
Imagine opening one file on Friday afternoon and knowing exactly what you can pay yourself, what's due next week, and how close you are to that next big goal. No more 10 p.m. guessing. Just clear numbers and confident decisions.
Founding price ends soon: $197 now, $297 after.
